Cancellation, Return, and Refund Policy
At Cobra Systems, we strive to ensure customer satisfaction with every purchase. This Cancellation, Return, and Refund Policy outlines the terms and conditions under which returns and refunds may be requested and processed. By placing an order on our website, www.cobrasystems.com, you agree to the terms described in this Policy.

- ORDER CANCELLATIONS
Order cancellations must be made in writing and are valid only upon confirmation of receipt by Cobra Systems. Cancellation of any production order for which Cobra Systems has produced custom features, customer-specific information, or personalized images will result in charges for all development costs, time, and labor incurred up to the point of cancellation. At Cobra Systems’ discretion, this may include up to and including 100% of the total invoice value.
- ELIGIBILITY FOR RETURNS
We accept returns for unused and resellable products within 45 days from the date of purchase. Items must be in their original condition, including all packaging, accessories, and documentation. Cobra Systems reserves the right to inspect all returned products before approving a refund.
- DAMAGED OR INCORRECT ITEMS
If you receive a product that is damaged during shipment or is incorrect, you must notify Cobra Systems within seven (7) days of delivery. For incorrect items or internal fulfillment errors, Cobra Systems will, at its discretion, provide a replacement, exchange, or refund at no additional cost.For items damaged in transit, customers must also preserve the packaging and provide clear photographs of the damage to support both Cobra Systems’ records and any freight carrier claim. Cobra Systems will assist in coordinating with the carrier, but freight damage is not considered a warranty or returnable issue, and the carrier remains responsible for reimbursement. Failure to report damage or incorrect shipments within the specified time period may result in denial of a claim.
- RETURN PROCESS
- Initiate a Return: To start a return, customers must contact us at customerservice@cobrasystems.com with their order number, product details, and reason for return. You may also call our customer service team at 800-262-7298 during business hours (Monday – Friday, 7:00 AM to 4:30 PM PST).
- Approval and Return Instructions: If your return meets our eligibility criteria, we will provide return authorization and shipping instructions. Unauthorized returns or items sent without prior approval may not be accepted.
- Shipping the Product Back: Customers are responsible for return shipping costs unless the product was received damaged or incorrect. A valid tracking number is recommended for proof of return.
- Inspection and Refund Processing: Upon receiving the returned item, Cobra Systems will inspect it for damage or signs of use.
- RMA Timeline: Once a Return Merchandise Authorization (RMA) is issued, the product must be returned within thirty (30) business days. Returns received after this period may be refused at Cobra Systems’ discretion.
- NO RESTOCKING FEE
Cobra Systems does not charge a restocking fee for returned items that meet the eligibility criteria and are received in unused, resellable condition. However, if an item is returned in non-resellable condition, including but not limited to missing packaging, accessories, or signs of use, Cobra Systems may refuse the return or apply a restocking fee of up to twenty-five percent (25%) of the purchase price. The decision will be made at Cobra Systems’ sole discretion after inspection of the returned product.
- REFUNDS
Approved refunds will be issued only after Cobra Systems has inspected and accepted the returned product in accordance with Section 7 (Inspection of Returns). Refunds will be processed to the original method of payment unless otherwise agreed in writing. Cobra Systems will use reasonable efforts to process refunds within five (5) business days after approval of the return. Shipping charges, customs duties, taxes, or other fees paid by the Customer are non-refundable unless the return is due to Cobra Systems’ error. Any deductions for restocking fees or non-resellable condition will be applied before the refund is issued.
- INSPECTION OF RETURNS
All returned products are subject to inspection and approval by Cobra Systems before any refund, replacement, or credit is issued. Products must be returned in unused, resellable condition with all original packaging, accessories, and documentation. Cobra Systems reserves the right to deny any return that shows signs of use, damage, alteration, or missing components. If the product does not meet the eligibility requirements after inspection, Cobra Systems may refuse the return or apply deductions to the refund amount in accordance with Section 5 (Restocking Fee).
- WARRANTY CLAIMS
This Cancellation, Return, and Refund Policy does not apply to warranty claims. All warranty-related returns, repairs, or replacements are governed exclusively by the Cobra Systems Warranty Policy in effect as of the date of purchase. Customers seeking service for a defective product covered under warranty must follow the Warranty Claim Process, including obtaining a Return Merchandise Authorization (RMA) from Cobra Systems. Any defect-related claim submitted under this Policy will be redirected and handled in accordance with the Warranty Policy.
- GOVERNING LAW AND DISPUTE RESOLUTION
In case of any claims, disputes or controversies arising out of or in relation to the services, or this Policy, the same shall be dealt with as per the Governing Law and Dispute Resolution clause as mentioned in the Terms & Conditions.
- UPDATES TO THIS POLICY
We may add to, change or update this Cancellation, Return and Refund Policy at any time, entirely at our own discretion, with or without any prior written notice. You are responsible for checking this Policy periodically. Your use of the website after any amendments to this Policy shall constitute your acceptance to such amendments.
